Specifications include, but are not limited to: • Develop a timeline and work plan. • Help to establish event dates and deadlines. • Help to develop and manage event budget. • Assist with vendor identification, negotiations, contracting and management. Work closely with designated UDOT representative as well as any associated conference partners. • Develop and implement a marketing and communications plan. • Ensure timely execution of all creative associated with the event, including invitations, letters, emails, tickets, press materials, table signs, event signage, outreach materials, etc. • Help identify venues, including hotels, conference centers and tour/offsite locations. • Manage and coordinate general event logistics, such as catering, venue coordination, registration, contracts, staging, entertainment, floor plans, seating plans, décor, volunteers & staffing, technical equipment, presentations, emcee, protocol management of VIP guests and dignitaries and any other relevant tasks as required. • Ensure all applicable licenses and appropriate insurance coverage is acquired. • Participate in post-event evaluations and surveys, including the preparation of your own post-event evaluation with recommendations to UDOT. • Supervise all aspects of the event and manage the logistics and onsite supervision of the event during the event, including troubleshooting. • Meet regularly as required by the Communications Office to provide updates on progress, issues, resources, and budget matters. • Other duties as assigned.
